Job Overview

The Chief of Staff at heyDominik is a strategic, high-impact role that partners closely with the CEO to ensure operational excellence, streamline internal processes, and lead key projects. This role will play a crucial part in shaping the company’s growth trajectory and supporting its commitment to providing creators with the tools and guidance they need to succeed.

Responsibilities

  • Act as the CEO’s deputy
  • Streamline operations
  • Enhance communication

  • Ensure business alignment by tracking progress on goals, priorities, and initiatives.
  • Free up the CEO’s focus for critical areas like content creation, strategy, and coaching.
Manage Priorities and Time Optimization
  • Conduct calendar / task audits to maximize CEO’s efficiency.
  • Synthesize program metrics and client insights to align on business priorities.
  • Provide data-driven insights and actionable recommendations to support decision-making in all areas of the business.
Oversee Internal Operations
  • Prepare agendas, document action items, and manage follow-ups for team meetings.
  • Implement and manage OKRs (Objectives and Key Results) for all departments.
  • Oversee the planning and execution of live coaching sessions, mentorship events, and other company initiatives.
  • Develop frameworks for efficient decision-making and operational workflows.
Drive Key Projects and Initiatives
  • Lead initiatives to optimize program offerings like the high-ticket mentorship and cohort-based programs.
  • Collaborate with sales and marketing to improve lead generation and conversion funnels.
  • Conduct customer research and develop insights for refining products and services.
  • Drive improvements to analytics tracking, ensuring actionable insights for growth.
Spearhead Special Projects
  • Lead hiring processes for critical roles within the company.
  • Manage strategic partnerships and evaluate new opportunities for collaboration.
  • Coordinate client success workflows to improve satisfaction and retention.
Technical and Operational Support
  • Manage updates and improvements to sales funnels, including changes to landing pages, lead capture forms, and checkout processes.
  • Oversee the creation, testing, and optimization of email sequences and automations.
  • Ensure alignment of technical systems (e.g., CRM, email marketing tools) with business goals.
  • Troubleshoot and coordinate resolutions for operational and technical issues.
  • Develop and maintain documentation for workflows, processes, and technical systems.
Analyze Data and Optimize Performance
  • Monitor KPIs across sales, marketing, and program fulfillment.
  • Identify bottlenecks and propose scalable solutions.
  • Work closely with teams to implement and track performance improvements.

Requirements

  • Minimum of 2 years of experience in a strategic or operational role, preferably within a startup or creative industry.
  • Strong problem-solving skills with a track record of delivering results.
  • Excellent written and verbal communication skills.
  • Proficient in tools such as Google Workspace, GoHighLvL, and Notion.
  • Familiarity with CRM platforms and email marketing tools, etc (e.g., Kit, Hyros).
  • Experience managing multiple priorities and stakeholders in a fast-paced environment.
Requirements
  • Experience working directly with executive leadership.
  • Familiarity with creator economy dynamics.
  • Understanding of coaching or educational program delivery.
  • Strong analytical skills with the ability to turn data into actionable insights.
